About

How can you bring students, teachers, and administration closer together in a school spread across six campuses throughout Europe? ESCP Europe, the world’s first business school founded in 1819, took on this challenge by launching an ambitious project: creating a collaborative digital workspace. By rethinking processes, tools, and visual identity, we designed a platform that reflects the European and multicultural spirit of the school while making everyday interactions easier.

Problem

Despite its global reputation and presence in six major European capitals, ESCP Europe faced a challenge: a lack of unity and fluidity in interactions between students, faculty, and administration. The diversity of tools and processes slowed down communication and negatively impacted the user experience — whether for applications, academic management or internal communication.

Objectives

Revise and simplify the application process

To make it more intuitive and efficient for school newcomers.

Create consistent standardized templates

To standardize the school’s documents and communications.

Refresh the visual identity of the interfaces

To reflect the school’s modernity and unity while honoring its heritage.

User research

We conducted interviews with 25 key users, including students, professors and administrative staff from the six campuses. The goal was to understand their frustrations and needs in using the current tools.

CANDIDATE JOURNEY

Perceived complexity : students described the application process as « fragmented », requiring navigation across multiple platforms with sometimes contradictory instructions.

Lack of clarity : candidates struggled to identify the necessary steps and required documents, which increased errors or delays in submissions.

Lack of real-time feedback : a frequent frustration concerned the absence of updates on their application status, generating a feeling of uncertainty.

INFORMATION ACCESS

High search time: students and faculty reported that it took them an average of 15 to 20 minutes to find specific information, such as an academic calendar or administrative contact information.

Unintuitive navigation: the current structure of digital tools was deemed « disorganized, » making it difficult to quickly locate key documents or resources.

Lack of centralization: each campus sometimes used different formats or platforms, creating confusion for users who interact with multiple sites.

Creation of a dedicated room

A “creation room” set up on campus to allow all users to follow project progress, review prototypes and share feedback in real time.

Ideation and workshops

Workshops brought stakeholders together to co-design key features and prioritize needs.

MVP definition

Feedbacks gathered from all stakeholders during workshops and user interviews helped us to define the first features and developments.

Prototyping and user testing

Interactive mockups were created and tested directly in the “creation room,” integrating user feedback for rapid iterations.

Once the functional prototypes were created, we organized several user testing sessions with students, teachers and administrative staff.

90% of students testers found the new application process intuitive.

88% of admin staff testers found the new dashboard more intuitive and efficient.
